Practice Better Review: A Canadian Counsellor’s Perspective

Practice Better Review: A Canadian Counsellor’s Perspective

I use Practice Better for my counselling practice, and one of the things I appreciate most is being able to manage appointments, notes, payments, and programs in the same place. My work includes counselling and psychoeducation, so I wanted something that could accommodate both.

For therapists and counsellors in Canada, there are a few practical reasons to consider it: payments in Canadian dollars, straightforward invoicing, calendar integration, and security features designed for handling sensitive client information.

Payments in CAD or USD

Practice Better lets you accept payments in CAD or USD. For a Canadian practice, being able to charge in Canadian dollars is essential. Having USD available is also useful if you offer classes or educational programs to an international audience.

Its integrated payment system is powered by Stripe. You can bill credit cards directly, send invoices, and track payments within the platform. I find the invoicing easy to use, and having billing connected to the rest of my practice saves administrative work.

Calendar Integration

Calendar integration is another feature I appreciate. Practice Better connects with Google Calendar, allowing appointments and other commitments to stay in sync. Busy events can block your availability so clients cannot book over something already in your calendar.

When you’re balancing client sessions with other work, having that connection makes scheduling easier. It also means fewer places to check when managing your availability.

Easy-to-Use Session Notes

Notes are a regular part of counselling work, and I want the process of documenting a session to be straightforward. Practice Better’s notes are easy to use and keep documentation connected to the client’s record.

This is one of those features that matters more in daily use than it might when comparing software. You’ll use it repeatedly, so it needs to feel comfortable when you’re writing between appointments or catching up at the end of the day.

Services, Programs, and Classes

The ability to offer different types of services is a major benefit for my work. Alongside individual appointments, Practice Better supports online programs and courses, with resources available through the secure client portal. You can offer programs with set dates or ongoing enrolment, depending on how you want to deliver the material.

For therapists and counsellors who also teach coping skills, offer workshops, or develop psychoeducational classes, this gives you room to expand your services. Being able to manage those offerings alongside your practice is convenient, particularly when participants need access to worksheets and other resources.

Program and class features vary by plan, so check which subscription includes what you need.

Privacy and Security for Canadian Practices

Privacy matters when you’re storing counselling notes and client information. Practice Better states that its platform complies with PIPEDA and PHIPA and provides safeguards to protect sensitive information.

That was an important consideration for me when choosing a platform. Therapists and counsellors should still review the provider’s privacy documentation against their own provincial and professional requirements.

Is Practice Better Worth the Cost?

I find Practice Better reasonably priced for the combination of features it offers. The value, for me, comes from using it for several parts of my work: scheduling, notes, invoicing, payments, and educational programs.

Your choice of plan will depend on the size of your practice and the features you need. If you only want appointment booking and notes, your needs may be different from someone who also runs classes or self-paced programs.

For my practice, the flexibility has made it a good fit. I’d recommend considering it if you’re a Canadian therapist or counsellor looking for an easy-to-use system with room for both client appointments and psychoeducational offerings.
